FAQs

Curious, captivated or clueless about what a Small Business Specialist is? Check out these frequently asked questions.

  • A Small Business Specialist is an independent professional who partners with business owners to provide high-level support across all areas of their business — all from a home-based office. Working remotely, they use their own equipment and take care of their own training, taxes, superannuation, and leave.

Small Business Specialists can support everything from admin and accounts to operations, customer service, marketing, and beyond. By working virtually, they offer flexible, expert assistance without the overhead costs of an in-house employee — allowing you to focus on growing your business with confidence.

  • There are three key advantages to working with a Small Business Specialist who works from home:

    1. Scalability
When you work with a Small Business Specialist, you have the flexibility to scale support up during busy periods or scale back when things slow down — without the long-term commitments of hiring an employee.

    2. Flexibility
Because they work remotely, Small Business Specialists aren’t bound by traditional 9–5 office hours. This means they can be available at times that suit you best, including for urgent tasks or when customer queries need a prompt response.

    3. Adaptability
Small Business Specialists are incredibly adaptable. They learn quickly, work confidently across different programs and platforms, and if something falls outside their scope, they’ll help you find the right specialist who can assist.

  • Just like any new hire, when you first start working with a Small Business Specialist, it can take a little time for both parties to find their rhythm and establish smooth workflows.

Small Business Specialists also rely on having digital systems and processes that can be accessed remotely, so some initial setup or adjustments might be needed if your operations aren’t fully online yet.

Additionally, not having an in-office assistant can feel different at first — you may miss the immediate face-to-face interactions. However, with clear communication and a little patience, most business owners quickly discover that the advantages of remote, expert support far outweigh any initial adjustments.

  • My priority is to always make sure my clients can trust me to look after their business, and that starts by offering regular touch point meetings and correspondence with you throughout the working week. I do this effectively via email, phone, text, and video calling (Zoom). How we communicate is really up to you – I’m flexible and resourceful, so can work with whatever form of communication you prefer. And if your business operates close to me, I’m always happy to meet in person for a cup of coffee.

  • I’ve always been a people person. I love seeing my clients flourish and thrive — and if I can help them get there? Yippee! I’ve been in the “people business” for more than three decades, having owned and operated several of my own businesses between the Indian Ocean and the Coral Sea.

Because I’ve lived the highs and lows of business ownership myself, I truly understand what it takes. I know that the biggest hurdle for many business owners isn’t just finding clients or managing staff — it’s staying on top of the constant day-to-day tasks that keep piling up. While these daily operational details might feel overwhelming to many, they’re my specialty.

What makes Virtually Done Admin Support stand out is my unique blend of real-world business ownership experience, a genuine passion for helping others succeed, and a commitment to building long-term, supportive partnerships. From authentic customer care and clear, thoughtful communication to meticulous attention to detail and reliable follow-through — I provide tailored solutions that help you feel in control and confident.

When you work with me, you don’t just get a Small Business Specialist. You get someone who truly gets it, who has your back, and who will go above and beyond to see you succeed. And because I dedicate myself fully to each client, I only work with a limited number at any one time — ensuring your business receives the time, focus, and care it truly deserves.

  • Contact me for a bespoke bundle customised just for you.

  • I am incredibly flexible – it’s the nature of the job, after all. However, my work hours will be outlined in our agreement and signed-off by you prior to contract commencement.

  • I understand that things crop up or can change last minute, and you may need admin help immediately. A 25% surcharge will be charged if your job is required with less than 24 hours-notice.

  • Don’t worry – you won’t be left in the lurch. I’ll give you notice of any time off, up to six weeks in advance (where possible).

It’s my priority to ensure you’re well prepared and taken care of in my absence. In the lead up to any scheduled time off my work commitments will be planned for accordingly, what can be done in advance will be dealt with and in some situations, I may need to delegate tasks to an associate within the industry, someone that I know and trust, to ensure that your business continues to thrive in my absence.

On some occasions I will be completely unplugged for a period of time and in other situations I will be contactable if something urgent pops up. However, this will be discussed with you in detail, prior to my absence.

  • The security of your business and its information is incredibly important, and as such, I have in place a number of safeguards to ensure you are protected. Prior to the commencement of any work, I will provide you with a working agreement that contains a signed confidentiality agreement stating that your intellectual property is protected. I also work within the code of conduct outlined by the VA Institute, which you’re welcome to review upon request. For extra security, any passwords shared with me are stored on an encrypted password manager. If you have any concerns about how your business’s information is shared or used, please touch base.

There’s only so many hours in the working week. Spend them doing what you do best and let me handle the rest.
